Online coordinators work as part of the Sponsorship Committee to build and manage sponsorship-related content and communications for the website. There are several online coordinators that work as a team to ensure all HighEdWeb online sponsorship needs are met.

This position will serve as a contact for sponsorship-related content in the conference platform and will be the point of contact for the online portion of specific events.

Responsibilities

Before the conference

  • Update sponsor-related web content as needed throughout the year.
  • Build out sponsor online booths.
  • Review sponsor digital assets for accessibility standards.
  • Develop content for static conference web pages relating to sponsorship, including identifying image assets for inclusion.
  • Assist with sponsor asset management (inc. logos, contractual communications on sponsor behalf, etc.)
  • Regularly attend meetings of the Sponsorship Committee. 
  • Monitor sponsor shared inbox.
  • Use the preferred methods and tools of project management (ex. ClickUp, Google Docs) to communicate, manage work, and stay on-task and on-deadline.
  • Promote the conference through personal social media and professional networks.

During the conference

  • Assist sponsors with online booths and manage online content needs.
  • Monitor and field sponsor questions in the conference platform chat and sponsor email.

After the conference

  • Provide post-event data and build reports for sponsors

Qualifications

Required

  • Proficiency with HTML and digital accessibility guidelines.
  • Ability to learn technical systems and processes.
  • Ability to create and manage both visual and textual content.
  • Membership in the association, which can be fulfilled at application. (Free general membership for higher education professionals would meet this requirement.)
  • Familiarity with the Association.
  • Ability to adhere to deadlines
  • Strong communication skills with teammates and colleagues.

Preferred

  • Ability to manage expectations of multiple stakeholders.
  • Past volunteer experience.
  • Past experience with sales and/or customer service.
  • Ability to work with project management/team communication platforms such as Slack, Clickup, etc.
  • Google Drive proficiency.

Estimated time commitment

  • The Sponsorship Digital Communications Coordinator is expected to virtually attend scheduled Conference Committee and other scheduled team meetings.
  • The time commitment for committee work varies, with a minimum of 3 hours per month and a peak commitment of 15 hours per month (attendance at the Annual Conference notwithstanding).

Length of appointment

1-2 year term with option to renew.

Conference attendance

Online conference registration is waived and required for any event where you are assisting. If you assist with the annual conference, you may apply the online waiver as a discount toward hybrid (in-person) registration. (Note: Annual conference attendance can be remote since this role manages the online portion of that event.)
