The Annual Conference Events Coordinator works as part of the Conference Committee, on the Attendee Experience team and serves as the planner and point of contact for official conference social and networking events (both throughout the working and evening hours of the conference).

General responsibilities

  • Plan and organize off-site/evening networking events.
  • Consult, help plan, and help organize appropriate networking events throughout the conference day.
  • Provide in-city support as primary contact for event logistics and event catering.
  • Coordinate with the executive director for all financial transactions and contracts.
  • Provide local insight to conference discussions and decisions.
  • Assist with both on- and off-site event coordination, management and execution.
  • Coordinate with local and conference businesses to explore conference opportunities.
  • Provide input on bringing a good sense of place and location to the conference.
  • Assist with conference setup (AV, bag stuffing, etc.).
  • Attend all committee meetings.
  • Coordinate with Volunteer Coordinator on staffing for off-site events.
  • Send thank yous to local businesses and supporters.
  • Facilitate an environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Promote the conference through personal social media and professional networks.
  • Assist with any local on-site needs.

Qualifications

Required

  • Proficiency in social and professional event planning.
  • Ability to project manage and adhere to strict deadlines.
  • Attention to detail and ability to self-manage multiple responsibilities.
  • Strong writing and communication skills
  • Strong preference given to volunteers local to the event site.
  • Membership in the Association (including free general membership), which can be fulfilled at application.

Preferred

  • Network of business associates and connections in local area
  • Ability to visit the site of the event as needed.
  • Ability to manage expectations of multiple stakeholders.
  • Significant knowledge of event location/venue (either onsite or as an online event)
  • Ability to work with project management/team communication platforms such as Slack, Clickup, etc.
  • Google Drive proficiency.

Estimated time commitment

  • The event coordinator is expected to virtually attend scheduled Conference Committee and other scheduled team meetings.
  • The time commitment for committee work varies, with a minimum of 3 hours per month and a peak commitment of 30 hours in the two months leading up to the conference (attendance at the Annual Conference notwithstanding).

Length of appointment

One Annual Conference season (usually November – November)

Conference attendance

Annual conference attendance is required. Conference registration is waived for this position.
