The Platform Coordinator ensures the functionality, accessibility and compliance of the conference platform delivery system as well as serves as a general resource for website issues.

Responsibilities

General

  • Be a go-to technical and functional expert in the selected conference platform.
  • Discuss, track and implement feature requests with the conference and program chairs. Integrate any appropriate systems or technology.
  • Evaluate platform accessibility and ensure platform and any additional systems are accessible for all users.
  • Update website content and attendee emails to support the marcom and sponsorship teams.
  • Coordinate with the event platform vendor as needed for conference support (except for account/billing).
  • Promote the conference through personal social media and professional networks.

Before the event

  • Ensure good usability and user experience for site visitors. Participate in any needed platform evaluation and selection process.
  • Configure the platform to support event activities, including the program and social events.
  • Onboard and train the committee on how to use the platform, from both an organizer and attendee perspective.
  • Implement key platform features and systems, such as:
    • Proposal submission
    • Registration
    • Schedule
    • Registration Desk check-in
    • Online evaluations
  • Based on the approved design supplied by the designer, develop the event theme and email marketing template.
  • Configure any analytics systems on the website and platform to be able to collect data needed for post-event reports.
  • Support and assist with all pre-event dress rehearsals and test runs, as needed.

During the event

  • Assist with conference setup.
  • Attend all committee meetings.
  • Ensure registration desk check-in processes are working properly.
  • Coordinate updates for platform use, as needed.

After the event

  • Provide post-event data for the conference committee as needed.
  • Help transition the website content and architecture to a post-event structure.

Qualifications

Required

  • Membership in the association, which can be fulfilled at application. (Free general membership for higher education professionals would meet this requirement.)
  • Strong proficiency in front-end technologies (including HTML, CSS and Javascript).
  • A detail oriented person that can stay on top of multiple responsibilities.

Preferred

  • Working knowledge of conference or event platforms.
  • Ability to manage expectations of multiple stakeholders.
  • Past volunteer experience at events.
  • Ability to work with project management/team communication platforms such as Slack, Clickup, etc.
  • Google Drive proficiency.

Estimated time commitment

  • As a member of the planning committee, this position is expected to virtually attend monthly meetings.
  • The time commitment for committee work varies, with a minimum of 1-2 hours per week and a peak commitment of 15 hours per month (attendance at the Annual Conference notwithstanding).

Length of appointment

Up to 12 months with the option to renew for a subsequent term

Conference attendance

Event attendance is required. Event registration is waived for this position.
