2025 Pennsylvania Regional: Attendee Relations Lead

The attendee relations lead acts as champion and ensures a rich, diverse conference experience for all attendees. This position coordinates social events and catering. This position also serves as lead for the attendee relations team.

Responsibilities

Before the conference

  • Act as primary champion and advocate for attendee experience, across multiple areas of conference planning.
  • Provide feedback to help structure the event schedule for optimal attendee experience. 
  • Coordinate with the Marketing and Communications team on developing pre- and post-conference communication for attendees, including the “For Attendees” section of the website.
  • Select inclusive meal, break, and social event food options that accommodate a variety of dietary needs and fit into the designated budget.
  • Plan and organize networking events off-site and throughout the conference day.
  • Coordinate with the chair and executive director for all financial transactions and contracts.
  • Provide local insight to conference discussions and decisions.
  • Promote the conference through personal social media and professional networks.

At the conference

  • Assist with conference setup.
  • Attend all committee meetings.
  • Serve as primary contact for catering and off-site events.
  • Ensure attendees have resources and environment needed to make the most of their event experience.
  • Assist with registration and attendee communications.

After the conference

  • Curate post-event attendee comments and make recommendations.

Qualifications

Required

  • Membership in the association, which can be fulfilled at application. (Free general membership for higher education professionals would meet this requirement.)
  • An understanding of and empathy for the needs of attendees
  • Familiarity with customer service and related best practices.

Preferred

  • Familiarity with the Association and the host city.
  • Knowledge of how to create welcoming and inclusive events.
  • Ability to work with project management/team communication platforms such as Slack, Clickup, etc.
  • Google Drive proficiency.

Estimated time commitment

  • As a member of the planning committee, this position is expected to virtually attend monthly meetings.
  • The time commitment for committee work varies, with a minimum of 6 hours per month and a peak commitment of 20 hours per month (attendance at the event notwithstanding).

Length of appointment

Up to 12 months.

Conference attendance

Event attendance is required. Event registration is waived for this position.
