From many, one: Centralizing a service at a geographically dispersed university

Universities are often very siloed in their approach to software/product usage. Penn State is no different. With more than 50 individual units at 20+ campus locations, building a centralized system can be a challenge. But we did just that with our digital signage.

Digital signage at Penn State used to be like the Wild West. Every unit set up their own system and did their own thing. Some units did it well, others did what they could. No one did it the same. In 2021 (yes, during the “COVID years”) we set out to centralize digital signage via an enterprise software license and cloud-based application. We went from a very siloed approach with multiple contracts on a decentralized network to a central system of more than 1,000 displays at over 20 campus locations. In this talk, I’ll go over the initial pain points that prompted the change, the process we went through, the people involved, pros/cons of our central system approach, the sense of community we created as a result of centralizing and lessons we learned along the way.

While this session focuses on how we did this with digital signage, the takeaways and information can be useful for any centralization effort.
